Lot-Controlled Inventory in Research Procurement
How lot-level inventory control supports traceable research procurement: what a lot is, how documents are bound to lots, and why lot-linked fulfillment matters for reproducibility and recordkeeping.
What a lot is
A lot is a defined quantity of material produced or packaged under conditions understood to be uniform, tracked as a single unit through inventory. A batch number identifies production; a lot number identifies the inventory unit that reaches a laboratory. Lot-level control means the platform can answer, for any unit shipped, exactly which production it came from and which documents describe it.
Binding documents to lots
In a lot-controlled system, analytical documentation is associated with the specific lot it describes rather than with the catalogue item in general. A verification lookup resolves the current, approved document for a given batch or lot identifier, and superseded documents are retained and marked rather than deleted.
This binding is what makes a Certificate of Analysis actionable: the recipient can confirm that the document in hand corresponds to the material in hand.

Why lot-linked fulfillment matters

Lot-linked fulfillment also supports recordkeeping: purchase records, inventory records, and analytical documents all reference the same identifiers, so an audit trail can be reconstructed without ambiguity.
What to record on receipt
On receipt, a receiving laboratory typically records the identifiers that make the material traceable within its own systems. Capturing these at intake keeps the internal record consistent with the supplier’s documentation.
- Catalogue, batch, and lot numbers as received.
- The certificate identifier and version supplied.
- Receipt date and storage location.
- Any discrepancy between the label, the document, and the order.
